Compliance Administration Officer- central file
Reporting to the Head of Compliance Administration, the Compliance Administration Officer ensures the integrity, security, completeness and traceability of the Bank's centralized client data and documentation.
In this role, you will be responsible for coordinating all aspects of end-to-end account documentation management, including client onboarding, account maintenance, account closure, and other account-related services.
The role involves close collaboration with the Account Opening & Review, Client Coverage, Legal, and IT departments, ensuring documentary quality and consistent process alignment across the Bank.
Key responsibilities
- Support end-to-end account documentation for client data and bank documentation, including client onboarding, account mutation/maintenance, account closure.
- Scan and index documents into the centralized repository (GED system), including but not limited to KYC, CDD documents, screening evidence, questionnaires, source-of-wealth/economic information, and management of hold mail.
- Ensure completeness and validity of CRS/FATCA tax documentation and self-certification forms, in line with regulatory requirements.
- Validate e-banking access requests, credit card applications, and related fee exceptions in accordance with internal policies and control standards, and process credit card requests via the Bank's dedicated internal application.
- Ensure documentation conforms to the Bank’s legal guidelines and policies and standards, including risk mitigation through adherence to the control framework.
Profile
- Education: Bachelor’s degree in law; AML/CAMS certification, or equivalent professional qualification is a plus.
- Experience: A minimum of 2 to 5 years' experience within a private bank or regulated financial institution, ideally in a Compliance, AML/KYC or Central File/Documentation function. Legal background is a plus.
- Regulatory knowledge: Solid understanding of AML/CFT fundamentals, GDPR, Swiss banking secrecy, and document retention obligations, along with familiarity with Swiss regulatory framework (AMLA, CDB20 etc.) and expectations. Prior experience with, or a strong understanding of, Swiss regulatory requirements relating to corporate account documentation would be an advantage.
- Technical skills: GED tools, document imaging/scanning, Excel (advanced), Familiarity with data analysis or reporting tools (e.g. Excel VBA, Power BI) is a plus.
- Soft skills: High attention to detail and strong organizational skills; discretion and respect for confidentiality; analytical mindset with the ability to prioritize under pressure and manage high volumes of documentation within tight deadlines; proactive and autonomous, with a strong sense of ownership; team-oriented with clear and effective communication skills.
- Languages: English and/or French, Russian, any additional language being a plus.
